Privacy Policy.

BOLD Aviation is a Tennessee non-profit that runs Music City STOL and funds youth flight scholarships. This page explains, in plain English, what information this website collects, why, and who it is shared with.

The short version
We only collect what you choose to send us through our forms, plus the standard analytics and advertising measurement that most websites use. We never sell your information. Tickets, camping and hotel bookings happen on other companies’ websites under their own policies. Questions: hello@boldaviation.org.

Information you give us

Vendor and food-truck applications. When you apply online, we collect your business name, contact name, email, phone, the details you enter about your booth or truck, an optional logo file, your typed signature and the date and internet address (IP) of the submission. The application is emailed to hello@boldaviation.org and to our event vendor coordinator, a copy is sent to you as a PDF, and a record is kept in this website’s private administration area. We use it only to review your application, plan the event and contact you about it.

Contact and partnership email. If you email us or use a contact form on this site, we keep the message so we can reply and follow up.

Payments. This website does not take payments. Vendor fees are paid by check or through Venmo, and sponsorships are arranged by email; those services have their own privacy policies.

Analytics and advertising measurement

Google Analytics 4. We use Google Analytics to understand how visitors find and use this site — pages viewed, links clicked (including clicks to buy tickets or download event documents), approximate location and device type. Google collects this through cookies and similar technologies. See how Google uses data from sites that use its services, or opt out with the Google Analytics opt-out browser add-on.

Meta Pixel (Facebook and Instagram). We use the Meta Pixel so we can measure whether our Facebook and Instagram advertising brings people to this site and to the ticket page, and to show Music City STOL ads to people who have visited. The Pixel records page views and ticket-link clicks and may share hashed (scrambled) information with Meta, which Meta can match to a Facebook or Instagram account. Your choices. You can block or clear cookies in your browser settings, use your browser’s private mode, or use the opt-out tools linked above. The site works fine without them.

Information collected automatically

Like almost every website, our hosting provider (WP Engine) keeps standard server logs — IP address, browser type, pages requested and timestamps — for security and to keep the site running. The site also uses a few functional cookies that remember things like whether you’ve just submitted a form. Live airport weather shown on the pilot information section is fetched by our server from the U.S. National Weather Service; nothing about you is sent to them.

Other websites we link to

Tickets, camping reservations, pilot registration and volunteer sign-ups are handled by National STOL. Hotel bookings go through IHG (Candlewood Suites). Sponsor logos link to our partners’ own websites. Once you leave boldaviation.org, those organizations’ privacy policies apply, not this one.

Photos and video

Music City STOL is a public event that is photographed and broadcast live. By attending, you may appear in event photos and video used on this site, on social media and in future promotion. If you see an image of yourself you’d like removed from this website, email us and we will take it down.

What we don’t do

  • We do not sell, rent or trade your personal information.
  • We do not share application details with anyone outside the event team, except as needed to run the event (for example, the airport and the City of Lebanon for vendor permits and site planning) or if required by law.
  • We do not knowingly collect information from children under 13. Kids’ tickets are free and no child data is requested.

Keeping and deleting your information

Application records are kept through the event season and for our records afterward. You can ask us at any time to see, correct or delete the information we hold about you by emailing hello@boldaviation.org. We will respond within 30 days.
